How Swaelkloof Wine Estate looks after the personal information you share with us.
Last updated 28 September 2026
Who We Are
Swaelkloof Wine Estate runs this website and decides what happens to the personal information you share through it. Under the Protection of Personal Information Act (POPIA) that makes us the responsible party.
- Business: Swaelkloof Wine Estate
- Address: Swaelkloof Wine Estate, Robertsvlei Road, Franschhoek 7690, Western Cape
- Contact: The form on this site
Our information officer is the owner of Swaelkloof Wine Estate. Contact us using the details above with any question about your information.
What We Collect
We only collect what you choose to send us through the forms on this site:
- The booking request form: your name, your email address, your phone number, the room you choose, your arrival and departure dates, the number of nights, how many people, any extras you add, the estimated total, anything you write in your message, the event you book, the date you ask for, the time you ask for and what you need.
- The contact form: your name, your email address, your phone number, what you need and anything you write in your message.
- The newsletter sign-up: your name and your email address.
- The quote request form: your name, your email address, your phone number, the date you ask for, how many people, what you need and anything you write in your message.
- The order form: your name, your email address, your phone number, what you order, the estimated total, whether you collect or want it delivered and anything you write in your message.
To keep spam out, each form entry also stores a scrambled code made from your internet address (never the address itself) and the name of your browser. We do not ask for identity numbers, bank details or any special personal information, so please do not send them in a message.
When you buy in our online shop we collect your name, email address, mobile number and delivery address, and your date of birth, because the law only lets us sell alcohol to adults. You pay on Paystack's secure page: we never see your card details.
If you tick Save my details, we keep a shop account with those details, your saved addresses, your orders and a password, which is stored scrambled so nobody can read it (or you sign in with a link we email you). You can see and change it in My Account, and ask us to close it at any time.
Why We Use It
We use your information only for the reason you gave it to us:
- To check availability, confirm your booking and look after your stay or visit.
- To answer your message.
- To send you our news, only because you signed up for it.
- To prepare and send the quote you asked for.
- To confirm your order, send payment details and arrange collection or delivery.
- To take payment for your order, send your invoice, arrange delivery or collection, and show your orders in My Account.
- To keep the records the law asks a business to keep.
We never sell your information, and we never add you to a mailing list you did not sign up for. Every newsletter has a way to stop it, and you can also just ask us.
We send shop news and offers by email only if you tick the box for them at checkout or in My Account. The box is never ticked for you, and you can untick it in My Account at any time.
POPIA lets us do this because you asked us to (you sent a message, a request or a sign-up), because we need it to give you what you asked for, or because the law requires it.
Who Else Sees It
We share your information only with the services that help us run this site and answer you:
- Talk Portal (Digital Cartel, South Africa) hosts this website and keeps form entries safe for us until we deal with them. It acts only on our instructions.
- Our email provider delivers form entries to our inbox.
- Paystack takes your card payment on its own secure page, under its own privacy policy.
- Our courier (booked through Bob Go) receives your name, phone number and delivery address to bring you your order.
- Google Maps shows the map on this site. Google receives your internet address when the map loads.
- Anyone the law requires us to share it with, such as SARS or a court.
Some of these services, such as Google, store information outside South Africa. POPIA allows this where the country or the company protects it to a standard at least as good as ours.
How Long We Keep It
- Form entries are deleted from the website after a year. Entries that look like spam are deleted after 30 days.
- Newsletter sign-ups stay until you ask us to remove you.
- A shop account stays until you ask us to close it.
- Anything that becomes part of a booking, sale or order is kept as long as tax and business law require, usually five years.
- Emails and messages are kept only as long as we need them to help you.
Cookies
This site does not use tracking or advertising cookies. Google may set its own cookies when the map loads.
Our shop uses two cookies it cannot work without, so they need no consent: one remembers what is in your cart for 14 days, and one keeps you signed in to My Account for 30 days after you sign in.
How We Protect It
The site runs over an encrypted connection (https). Form entries sit behind a login that only we can use, and they are deleted on the schedule above. If your information is ever exposed without permission, we will tell you and the Information Regulator as POPIA requires.
Your Rights
Under POPIA you may:
- ask whether we hold information about you, and for a copy of it;
- ask us to correct it, or to delete it when we no longer need it;
- object to us using it, and withdraw any consent you gave;
- ask us to stop sending you marketing at any time;
- complain to the Information Regulator.
To use any of these rights, contact us with the details at the top of this page. We will answer within a reasonable time and at no cost for a simple request.
Complaints
If you are unhappy with how we handled your information, please tell us first so we can put it right. You may also complain to the Information Regulator (South Africa):
- Website: inforegulator.org.za
- Email: POPIAComplaints@inforegulator.org.za
- Address: JD House, 27 Stiemens Street, Braamfontein, Johannesburg, 2001
Children
This site is not aimed at children. If you are under 18, please ask a parent or guardian to contact us for you.
Changes to This Policy
When what we collect or who helps us changes, this page is updated and the date at the top changes with it.
